Timetable Management System

When you create or edit a session, the system checks the assigned faculty member's existing schedule for any time overlap on the same day. If Professor Ahmad is already teaching Calculus I in Room 110 from 10:00 to 11:15 AM, and you try to assign him to Statistics in Room 205 at 10:30 AM, the system blocks the save and tells you exactly which existing session conflicts. This check is a configurable constraint. It is on by default, and most institutions leave it enforced at all times. The same validation runs during bulk generation through the Generate Timetable wizard.

You can filter all sessions assigned to rooms in the affected building and reassign them in bulk. The system shows room availability across your other buildings in real time, so you can move 30 sessions to open rooms without manually checking each one for conflicts. All affected students and faculty receive notifications through the portal. If you need to cancel sessions outright for a day (snow day, campus closure), bulk status updates mark them as cancelled and notify everyone involved in one action.

Changes are visible in real time. When the registrar moves a session to a different room, changes the time, or assigns a substitute faculty member, that update appears immediately on the student portal, the faculty dashboard, the department chair's view, and any connected calendar integration. There is no republish step. The system also logs every change with a timestamp and the user who made it, so the registrar has a full audit trail of what was modified and when.

The Generate Timetable wizard allows you to define different subject, faculty, room, and time configurations for each day of the week within a single batch. A course that meets Monday and Wednesday at 9:00 AM in Room 301 and Friday at 2:00 PM in Lab 104 would have separate session entries for each pattern. All sessions link to the same course, batch, student roster, and attendance records. Attendance tracking generates separate sheets for each session time, and students see the complete pattern on their weekly calendar view.

They are directly connected. Every confirmed session in the timetable generates a corresponding attendance sheet in the Attendance module, pre-populated with the students enrolled in that batch. Faculty mark attendance against the actual scheduled session, so there is no mismatch between what the timetable says happened and what the attendance record shows. If a session is cancelled or rescheduled, the attendance sheet updates accordingly. Reports can cross-reference attendance rates against specific time slots, rooms, subjects, and faculty members.
